Contract

Processing needed to provide the services you request or to take steps before entering into a service relationship.

Legitimate Interests

Processing reasonably necessary to operate, secure, improve and protect our business and services, where those interests are not overridden by your rights.

Processing based on your consent where consent is required. You may withdraw consent where applicable.

05

Music, Release and Catalogue Data

Music distribution requires us to process information that may be intended for public display or transmission to third-party music services. This can include artist names, release titles, artwork, credits, label information, release dates, identifiers and other release metadata.

When you submit a release, you instruct us to use and transmit the submitted catalogue information as reasonably necessary to review, manage and distribute that release. Information delivered to a digital music service may also be handled under that service’s own terms and privacy practices.

You are responsible for ensuring that you have the authority to submit personal information relating to collaborators, songwriters, featured artists, representatives or other third parties included in your release data.

06

Payments, Subscriptions and Royalties

Payment transactions may be handled by payment service providers acting on our behalf. Those providers may collect payment-card or billing information directly. Distrophonic may receive transaction status, billing references, subscription information and limited payment-related data needed to maintain your account.

We may also process royalty statements, earnings information, payout records and payout-method information to provide reporting and withdrawal features.

Payment security

Do not send full payment-card numbers, passwords or other sensitive credentials through ordinary support messages.

07

When We Share Information

We may disclose information only as reasonably necessary for the purposes described in this Policy, including to the following categories of recipients.

Digital music and distribution partners

Release metadata, audio, artwork and related catalogue information may be shared with digital stores, streaming services, social platforms, content-identification services and distribution partners as needed to deliver and administer releases.

Service providers

We may use vendors that provide hosting, cloud infrastructure, email delivery, payment processing, analytics, security, customer support and other operational services.

Legal and safety disclosures

We may disclose information when we reasonably believe disclosure is required by applicable law, legal process, a valid governmental request, or is necessary to protect rights, safety, security, users or the integrity of our services.

Business transactions

If Distrophonic is involved in a merger, acquisition, reorganization, financing, sale of assets or similar business transaction, information may be transferred as part of that transaction subject to appropriate legal protections.

08

Where required by applicable law, we take appropriate steps to use lawful transfer mechanisms or contractual protections for international transfers of personal information.

How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to provide services, maintain business and financial records, administer royalties and payouts, resolve disputes, enforce agreements, prevent fraud and comply with legal obligations.

Retention periods vary depending on the type of information and why we process it. For example, some transaction, royalty, tax, accounting, copyright or legal records may need to be kept after an account is closed.

When information is no longer required, we may delete it, anonymize it or securely isolate it until deletion is practicable, subject to applicable law and backup-system limitations.

11

We use reasonable administrative, technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, alteration or disclosure.
